Who we are
We are Aristone Solicitors, a small law firm based in Luton — and we’re proud of that.
We’re not trying to be a large corporate firm or pretend to be something we’re not. We’re a close team, our clients know us, and we know one another.
We care about doing things properly, we’re always looking for better ways of working and, most importantly, we try to be genuinely nice people to work with.
We’re now looking for someone who can become the person who really knows our office.
The person who knows where things are, what has arrived, what needs doing, what hasn’t been done yet and who needs to know about it.
Some of our lawyers work remotely or on a hybrid basis, so having someone reliable, capable and trusted physically in the office is incredibly important to us.
This isn’t really a receptionist job
Yes, you’ll be the first person our clients see when they come through the door.
You’ll welcome them, get them settled and make sure the office feels professional and looked after.
But reception is only one part of the role.
Most of your day will be spent keeping the practical side of a busy law firm moving.
One minute you might be dealing with correspondence that has arrived for a solicitor working from home. The next you might be locating an old file, preparing documents for a meeting, sorting out an archive, helping a solicitor get something out urgently (good judgement about what genuinely needs attention first) or noticing that something hasn’t been saved where it should be.
Some days will be very organised and methodical.
Other days, three people will need something at once.
We need someone who enjoys both.
You won’t be expected to say yes to everything at once. Part of being good at this role is having the confidence and judgement to prioritise, manage expectations and tell us when something else needs to come first.
What you’ll actually be responsible for
You’ll take ownership of things like:
- incoming and outgoing post;
- scanning, naming and correctly filing documents electronically;
- maintaining and organising physical client files;
- retrieving files and documents for colleagues;
- keeping documents in proper chronological order;
- helping prepare and organise files for meetings, hearings or other work;
- assisting with file closure and archiving;
- making sure physical documents have been properly scanned before files disappear into storage;
- keeping accurate records of where files are stored;
- helping different departments with practical administrative tasks;
- answering the door and welcoming clients and visitors;
- preparing meeting rooms and looking after clients while they’re with us;
- helping with incoming telephone calls; and
- generally spotting the practical things that need doing around the office and taking ownership of them.
There will be processes and checklists because accuracy matters enormously in a law firm.
But we don’t want someone who simply waits for a checklist to tell them what to do.
We want someone who notices things.
If something isn’t where it should be, you investigate.
If a solicitor working remotely needs a document, you work out how to get it to them.
If something has been sitting around that clearly needs dealing with, you don’t assume somebody else will eventually notice it.
And if you think there is a better way of organising something, we’d actually like you to tell us.
Working with our legal teams
Although your core responsibility will be Reception & Office Administration, this isn’t a role where you’ll necessarily be doing the same thing every day.
From time to time, you may be assigned to work more closely with one of our departments or fee earners, helping with the practical and administrative work needed to keep their matters moving. This may include preparing and organising files and documents, assisting with correspondence, bundles, client administration, follow-ups and other departmental tasks.
You’ll need to be good at juggling priorities. Even when supporting a particular department, your core Reception & Office Administration responsibilities remain yours. We’re therefore looking for someone who can manage competing tasks efficiently, know what needs to be prioritised and make sure nothing gets forgotten.
We particularly value people who notice what needs doing, take ownership and don’t always need to be given their next task.
The person we’re looking for
Ideally, you’ve worked in a law firm or professional office before.
You understand confidentiality. You understand why putting a document on the wrong client file isn’t a small mistake. And you understand that sometimes the apparently boring little details are the things that keep an office running brilliantly.
You’ll probably be someone who is naturally:
- organised and methodical;
- extremely accurate;
- calm when several things are happening at once;
- comfortable with technology;
- good at figuring things out;
- proactive rather than waiting to be asked;
- warm and confident with clients;
- comfortable supporting different personalities and departments;
- happy taking responsibility for something from beginning to end; and
- someone other people quickly learn they can rely on.
You don’t need to know our systems when you arrive. We’ll teach you those.
What is harder to teach is ownership.
There’s more to this role than keeping things tidy
We want someone who can become genuinely knowledgeable about how our office operates.
Over time, we’d expect you to know our systems and processes extremely well. You’ll understand how files move through the firm, how documents are stored, what needs to happen when a matter closes and how to help colleagues get what they need quickly.
There will also be opportunities to take responsibility for improving the way some of those things work.
So although there are routine parts to the job — and you do need to be someone who genuinely doesn’t mind routine — this isn’t a role where we expect you to switch your brain off.
Quite the opposite.
The better you become at it, the more we’ll trust you with.
Why this role matters to us
A brilliantly organised office makes an enormous difference to a law firm.
Our solicitors should be spending their time advising clients and doing legal work — not searching cupboards for files, wondering whether something has been scanned or trying to work out what happened to yesterday’s post.
That’s where you come in.
You’ll support colleagues sitting ten feet away from you and colleagues working from home.
We want you to become the person they know they can call and say:
“Can you help me sort this?”
And know that you’ll take it from there.
That doesn’t make this role less important than the legal roles around it. It makes it a different kind of important.
We’re a small team. We respect one another, help one another and want the person doing this job to feel genuinely part of the firm.
A role that can evolve
We’re a small firm, which means roles here don’t always sit neatly inside a box.
Your core responsibility will be Reception & Office Administration, and we’re looking for someone who genuinely wants to take ownership of that role and stay with us for the longer term.
But that doesn’t mean you’ll be doing exactly the same thing forever.
As you get to know the firm, you may find yourself working more closely with particular departments, taking ownership of certain processes, supporting fee earners with their work, improving how we do things or becoming responsible for areas we haven’t even thought of yet.
We like that fluidity. If you’re particularly good at something, we want to use that strength.
What we aren’t advertising is a defined pathway from Receptionist to Paralegal to Solicitor. We don’t want someone joining simply because they see reception as a short-term stepping stone to another job.
We want someone who can make this role their own, grow with Aristone and, over time, become one of those people who simply knows how the firm works and gets things done.
Personality matters to us
We’re looking for someone warm, emotionally mature and naturally positive, with a great sense of humour and a good sense of perspective.
Someone who can have a bad day without letting it become everyone else’s bad day. You don’t need to be cheerful 24/7 — we’re all human — but a bit of self-awareness, kindness and the ability to laugh at things goes a long way here.
We love people who naturally assume the best of their colleagues. If something bothers you, you’re able to talk about what happened and how it made you feel, rather than making it about who someone is as a person.
You can have a moan. You can disagree. You can tell someone when something isn’t working. But you do it with warmth, humour and respect — and then you work together to sort it out.
Think of a good football or rugby team. You want your teammates to do well. You back them, you help them when they’re struggling, you can challenge them when needed, and you celebrate their wins.
We’re looking for someone with that team-player mentality — kind, good-humoured, emotionally intelligent and able to get things done without taking themselves too seriously.
And ideally, someone who becomes a bit of the heartbeat of the office: the person people trust, clients warm to, and colleagues are genuinely happy to see when they walk through the door.
You’ll also need a good sense of discretion. In a small law firm, you naturally see and hear a lot. We value people who can be trusted with information, don’t involve themselves in things that aren’t theirs to involve themselves in, and understand when something simply doesn’t need to be repeated.
You’ll also need to be comfortable chasing people — including us. If you need something from a colleague to finish a job, we’d rather you politely remind them than let it sit because you didn’t want to bother them.
There’s not much room for ego in this role. Some things you’ll be responsible for will feel important; others will be incredibly ordinary. We need someone who takes just as much pride in getting the small things right.
The practical bits
This is a full-time, office-based role in Luton.
Previous experience within a law firm or legal environment is strongly preferred.
We’ll give you proper processes and support while you learn how Aristone works, but we’re ultimately looking for someone who wants to make the role their own.

Requirements
To become a consultant with us, we require that the work be conducted or supervised by:
- A qualified solicitor, fellow of OISC Level 3.
- Possession of a minimum of 4 years post-qualification experience (PQE).
- A strong client following or solid client contacts
- Strong understanding of the UK immigration system and procedures, with a track record of successfully managing complex cases.
- Self-motivated and disciplined, with a commitment to professional development and excellence in immigration law.
- Flexibility to manage your workload and client meetings, with the ability to work remotely.
